Privacy Policy

This policy explains how Prosys Technologies handles personal and operational information when you use PumpBook.

1. Information collected

We may collect account details such as name, email address, mobile number and Google account identifier; station and staff information; daily settlement, stock, expense and credit-account records; uploaded bill images; and security information such as login time, result and IP address.

2. How information is used

Information is used to create and secure accounts, provide PumpBook features, calculate and retain station records, generate reports, support customers, prevent misuse, monitor service reliability and meet applicable legal obligations.

3. Service providers

We may use infrastructure, authentication and processing providers to operate PumpBook. Google processes Google sign-in. When bill-reading is enabled, uploaded bill content may be sent to the configured AI processing provider. Providers receive only the information needed to perform their service.

4. Sharing

We do not sell personal information. Information may be disclosed to authorised account users, service providers acting on our behalf, professional advisers, or authorities when required by law or necessary to protect rights and security.

5. Retention

Account, operational, audit and security records are retained while needed to provide the service, meet contractual or legal requirements, resolve disputes and protect the platform. Retention periods may differ by record type.

6. Security

We use access controls, encrypted connections, restricted production configuration and operational backups. No system is completely risk-free, so users must also protect their devices and credentials.

7. Your choices and requests

You may request access, correction or deletion of personal information, subject to identity verification and legal or operational retention requirements. Station dealers control user access and much of the operational data within their account.

8. Updates and contact

We may update this policy and will identify the applicable version and effective date. Privacy questions or requests may be sent to info@prosyssoftware.com.

9. Optional public-page analytics

Added 23 September 2026. With your permission, we use Google Analytics to understand visits to public marketing and information pages. Google may process browser/device information, cookie identifiers and page-view activity. Our integration does not track signed-in pages, account creation, login callbacks, billing or private station records. We exclude query strings, fragments and referrer details from this measurement, and do not enable advertising personalisation or Google signals in this integration.

No Google Analytics script is loaded until you choose Allow analytics. Rejecting analytics does not affect your use of PumpBook. Your choice is stored in this browser for up to 180 days; analytics cookies are configured for up to 180 days. Use Analytics preferences on an eligible public page to change your choice. Withdrawing consent stops further collection and removes the analytics cookies accessible to this site; it does not automatically erase information already processed by Google.
